How do you write a resignation letter?

A resignation letter has one job: to put on record that you are leaving and when. Everything else in it exists to protect the relationship on your way out. That means the structure is short and fixed, and you do not need to be a strong writer to get it right.

Every resignation letter contains four things, in this order:

  1. Open by resigning

    A direct opening sentence stating that you are resigning from your job title at the company. No preamble, no build up.
  2. Name your last day

    Your last working day, written as an actual date. Do not write "in two weeks" and leave your manager to do the arithmetic.
  3. Say one real thank you

    A short, genuine thank you. One or two sentences about something real is worth far more than a paragraph of compliments that could apply to any employer.
  4. Offer the handover

    An offer to help with the handover. Naming what you will actually do, such as documenting your work or training a replacement, is what makes this line believable.

Then sign off. Four short paragraphs is the ceiling, not the target. A long resignation letter reads as defensive, and nobody in HR will thank you for it.

How much notice should you give?

Two weeks is the standard in the US for most roles, and it is what people mean by "notice" unless something else is written down. Check your contract or employee handbook first: senior, specialised, and contracted positions often require three or four weeks, and some fields have their own norms. Where a longer period is specified, honour it if you can. Failing to do so is the kind of thing a former manager remembers years later when a reference call comes in.

Notice starts when you tell them

Notice is counted in working days from the moment you tell your employer, not from the date on your letter, so hand it in on the day you intend the clock to start. If you are taking a vacation between now and your last day, say whether your notice period includes it.

If you genuinely cannot give the full period, give what you can, acknowledge it in one sentence, and put your remaining energy into a clean handover. That combination is what people actually remember. Extended apologies are not required.

What should you not put in a resignation letter?

Most resignation letters go wrong in the same two ways. They either say almost nothing, which reads as cold, or they say far too much, which creates problems that did not exist before you started typing.

Do

  • State the job title and company so the letter works as a personnel record.
  • Write the last working day as a real date, not a relative one.
  • Thank someone for something specific that actually happened.
  • Name the handover work you will finish before you go.
  • Keep it to four short paragraphs at the very most.

Don't

  • Criticism of your manager, your team, the company, or its direction.
  • Your new salary, your new employer, or a comparison between the two roles.
  • A detailed account of why you are leaving, however reasonable it feels right now.
  • Conditions, ultimatums, or anything that sounds like an opening negotiating position.
  • Jokes. They age badly in a document that sits in a personnel file.

The test is simple. Assume the letter will be forwarded to people you have never met and read again in three years when someone checks your references. If a sentence would not survive that, cut it.

Who do you address it to, and who else needs a copy?

Address the letter to your direct manager by name. They should also hear it from you in person or on a call before the letter lands, wherever that is possible. Being told by email that a report is leaving is a small indignity that costs you goodwill for no reason.

Copy HR, or send them the letter separately, because they own the paperwork: final pay, unused vacation, benefits end dates, and equipment return. If you work somewhere without an HR function, ask your manager where the letter should be filed.

Keep your own copy

Save the letter and the date you sent it somewhere outside your work account. Access to company email often ends on your last day, sometimes sooner.

Thank you for the opportunity to work on [project or team]. I have learned a great deal here, and I am grateful for the support you have given me. I want to make the handover as smooth as possible. I will finish [open work] before I leave and write up documentation for everything I own. I am happy to help train whoever picks it up. Thank you again for everything. Sincerely, [Your Name]

The default. Use this when nothing unusual is going on and you can work your full notice.

Short notice
Dear [Manager Name], I am resigning from my position as [Job Title] at [Company Name], effective [Date]. I know this is shorter notice than usual, and I am sorry for the disruption it causes. I appreciate the time I have spent on the team and what I have learned here. In the days I have left I will prioritise handing over [key responsibility] and documenting anything in progress so nothing is lost. Please tell me what would help most and I will focus there. Thank you for your understanding. Sincerely, [Your Name]

Use this when circumstances mean you cannot work a full two weeks. Say so plainly and do not over explain.

Long tenure, grateful tone
Dear [Manager Name], After [number] years at [Company Name], I have decided to move on, and I am writing to formally resign from my position as [Job Title]. My last working day will be [Date]. This has not been an easy decision. I joined as [first role] and I am leaving with skills, relationships, and confidence I did not have when I walked in. Thank you for backing me, especially on [specific thing]. I am committed to leaving things in good order. Over the next [notice period] I will complete [work in progress], hand over [responsibilities], and support whoever takes over. I hope we stay in touch, and I wish the team every success. Sincerely, [Your Name]

Use this after several years somewhere that mattered to you. It can be warmer without becoming a speech.

What happens after you hand it in?

Expect a conversation rather than a reply in writing. Your manager may ask why, may ask you to reconsider, and may make a counter offer. Decide in advance how you will answer all three, because working it out in the room is how people end up staying somewhere they had already decided to leave.

Do not resign before the offer is in writing

Be ready for the possibility that your employer ends things sooner than your stated last day. That is their right in most at-will roles, and it is common where people move to a competitor.

Can I send a resignation letter by email?

Yes, and most people now do. Keep the subject line factual, for example "Resignation: Jane Doe, Marketing Manager", put the letter in the body rather than in an attachment, and copy HR if that is your company practice. Tell your manager in person or on a call first where you can, then send the email as the written record.

What should you not put in a resignation letter?

Leave out complaints, criticism of people or management, the details of your new job or salary, anything you would not want read aloud in a meeting, and long explanations of your reasons. The letter is an administrative record, not a place to settle anything. Save honest feedback for an exit interview, and even there keep it factual.

Do I have to give a reason for leaving?

No. In the US you are generally not required to explain why you are resigning, and a neutral phrase such as "to pursue a new opportunity" is completely normal. If you have a warm relationship with your manager you can share more in conversation, but the written letter does not need it.

Can I retract a resignation after I hand it in?

Sometimes, but you should assume not. In at-will employment an employer can accept your resignation immediately and is not obliged to let you take it back. Because of that, do not resign as a negotiating move or in the middle of a bad week. Decide first, then write the letter.
